Administrative Office

 Controller

 The Controller will manage and secure the financial success and stability of the organization. The Controller reports to the President/CEO, and works directly with key Board members and Committees. This position also has a direct reporting relationship with the Treasurer and Finance Committee. The Controller supervises the Accounting Director and oversees the operations of the Accounting Department.

Meeting Financial Goals:

  • Prepares, monitors and controls the organization’s annual operating budget. Also prepares and monitors the County Clubs Program budgets, capital budget, and budgets for specific programs and projects.
  • Identifies and implements plans for cost savings.
  • Works with the President/CEO and Board Committees to develop strategies to ensure and enhance the financial strength and stability of the organization.
  • Oversees billing and timely collection of Events and other receivables.
  • Helps Manage cash flow to assure that adequate cash is available to meet financial obligations.
  • Executes on policies and procedures to maximize interest income and minimize interest expense.

Controlling and Safeguarding Assets:

  • Updates our accounting manual that documents the organization’s system of internal controls. Oversees compliance of control procedures by the Accounting staff and other staff throughout the organization.
  • Update Standard Operating Procedures as needed.
  • Works with the Accounting Director in updating the chart of accounts, and other major components of the accounting system.
  • Oversees the handling of cash, including currency and check receipts, petty cash transactions, credit card transactions, cash transfers and wire transfers. Assures the timely reconciliation of all bank and investment accounts.
  • Prepares and updates depreciation schedule.
  • Ensures compliance with policies regarding the maintenance of subsidiary accounts for specified assets and liabilities, and periodic reconciliation of general ledger asset and liability accounts with detailed records.
  • Works with the President/CEO, specified Board member(s), and insurance professionals in developing risk management strategies, and contracting with insurance companies for liability and other coverage.

Meeting Financial Obligations:

  • Oversees operation of the Accounts Payable process. Monitors cash flow to assure that cash is available to meet payroll and accounts payable requirements.
  • Prepare Daily Cash Balance report for Operating and other accounts as needed.
  • Prepares weekly cash needs estimates.
  • Oversees operation of the Payroll system.
  • Manages all debt arrangements and assures compliance with all provisions.

Providing Financial Information:

  • Prepares a full set of annual financial statements in accordance with generally accepted accounting principles. Works closely with the auditors and addresses all issues raised during the audit process.
  • Prepares budgetary and other internal financial statements and reports on a monthly basis and as needed. Distributes financial reports to the Finance Committee, senior management, County Directors and others.
  • Provides a financial and oral report to the Board at each Board meeting.

Board and Committee Support:

  • Provides staff support to the following committees:
    • Finance Committee
    • Audit Committee
    • Investment Committee
  • Works with other committees as needed.

Regulatory and Other Compliance Matters:

  • Works with Director of Human Resources to assure compliance with labor laws, tax requirements, and other personnel related regulatory requirements.
  • Works with Grant Writer to assure compliance with State and Federal regulatory requirements, grant contractual agreements, and donor restrictions.
  • Oversees preparation of all financial reports, tax returns, and regulatory reports.
  • Related to finances, assures compliance with all laws and regulations throughout the organization.

Human Resources:

  • Works with Director of Human Resources in:
    • Complying with the Salary Administration Plan and other organization-wide personnel policies.
    • Maintaining, researching, and updating employee benefit plans.
    • Assuring a smooth interface between Payroll and HR functions.

Information Technology:

  • Works with the President/CEO and Senior Management to develop, implement, and update an organization-wide IT strategy.
  • Evaluates and updates hardware and software used for:
    • Accounting
    • Payroll and Human Resources
    • Fund Raising

Grants:

  • Creates budgets as needed for grant proposals.
  • Provides financial reports as needed based on requests and requirements of funders.
  • Maintains reporting systems to track and control grant funding, expenditures, and balances.
  • Reviews and approves grant billing.

Fund Raising and Events:

  • Assures a smooth interface between fund raising and accounting systems.
  • Plans, supervises, and participates in financial components of events, including auction sales and check-out procedures.
  • Prepares, or supervises the preparation of financial reports for each major event.

 Events Manager

The Events Manager is responsible for the successful production of events while meeting financial and operational goals. The Events Manager will work closely with Director of Corporate Events as well as complete delegated assignments from the Executive Vice President (EVP).

The Events Manager must have at least a Bachelor’s degree preferably in a related field, and at least 3 years’ experience in event production, demonstrated ability to lead, train, direct and motivate volunteers and staff. Experience with a non-profit agency will be a plus. Position requires superb written and verbal communication skills, excellent organizational, social and administrative skills with proficiency in Microsoft Office required and Raiser’s Edge experience a plus.

Typical responsibilities include:

  • Active team member in all events.
  • Attend committee meetings, assist with live and silent auctions, staffing, training and supervising BGCBC staff and volunteers, attending and producing sub-event functions and varied delegated assignments that ensure the success of all events.
  • Prepare, monitor and control lead events annual revenue and expense budget.
  • Assist event chairs in obtaining sponsorships, table sales, advertisers, live & silent auction items, raffle prizes and other revenue sources.
  • Timely production of written financial recap following each event.
  • Coordinate any assignments that are assigned.
  • Act as Event Lead and delegator in specifically assigned events.
  • Effectively manage, train and motivate staff and volunteers on a daily basis and other BGCBC staff and volunteers during the events.
  • Manage the expenses associated with all events.
  • Maintain close daily communication with supervisors to update progress on all events.
  • Maintain daily communication with Accounting Department to ensure correct input of all donations, billing and expenses.
  • Work in a positive and professional manner with all program staff while assisting with special events.
  • Maintain excellent communication with event personnel, Board members, Committee Chairs and Members, event staff, volunteers, sponsors, vendors and act as liaison where appropriate for Boys & Girls Clubs of Broward County.

Position Requires:

  • 4-year College Degree required.
  • Minimum of three (3) years in event production.
  • Demonstrate skills and experience in the production of financially successful special events ranging from multi-day to single-day events.
  • Demonstrate the ability to lead, train, direct and motivate volunteers and staff.
  • Demonstrate the ability to manage a budget.
  • Ability to use Microsoft Office programs, including spreadsheets, Raisers Edge, Power Point and word processing with a high degree of accuracy.
  • Exceptional customer service skills and attention to detail.
  • Ability to understand and negotiate contracts with vendors.
  • Excellent verbal and written communication skills.
  • Ability to display a positive attitude and professional demeanor at all times.

Must have general knowledge of all sports and be able to officiate sports activities (i.e. flag football, basketball, soccer, etc). Applicant must be at least 21 years of age. Part time , M-F, 2:15pm-7:30pm. Rotating Saturdays 11am-3pm. Must pass our pre-employment screening.


GAMEROOM SUPERVISOR
Must possess the ability to plan, organize, implement and recreational programs for teems ages 13-18. Need to be energetic, enthusiastic & creative. Must be a positive mentor and of good moral character. Part time , M-F, 3:00pm-8:00pm. Rotating Saturdays 11am-3pm. Must pass our pre-employment screening.
