Administrative Office

Accounts Payable Coordinator needed to record, control and pay financial obligations incurred by the organization; processing invoices, purchase orders, and other requests for payment. Adherence to internal control procedures is essential for this position.

QUALIFICATION REQUIREMENTS:

  • Demonstrated knowledge of accounting principles
  • Technology skills, including computer operations, word processing with a high degree of accuracy
  • Good grammar, strong customer service skills and strong attention to details are required
  • Bachelor degree in Accounting or related field preferred
  • Experience with Blackbaud Financial Edge, SAPP, Great Plains or similar accounting software required
  • Manage the expenses associated with above-mentioned events
  • Previous Not-for-Profit experience will be helpful

DUTIES INCLUDE:

  • Receives invoices, purchase orders, check requests, and other requests for payment, and reviews documentation for completeness, accuracy, reasonableness, authorization, and account coding
  • Processes staff expense reimbursements
  • Organizes documents in batches in preparation for entering into Accounts Payable system
  • Enters data into Accounts Payable system, runs edit reports, and finalizes batches
  • Processes 1099’s
  • Files vendor invoices
  • Executes check runs
  • Supervises the mailing and distribution of checks
  • Maintains computerized vendor files
  • Runs accounts payable list and reconciles subsidiary and general ledgers monthly
  • Resolves billing disputes and other vendor related issues
  • Sets up and maintains vendor folders
  • Provides auditors with schedules, documents, and assistance
  • Manages and controls petty cash at all locations
  • Maintains Finance correspondence files
  • Supervises ordering of office supplies
  • Maintains security of company credit cards
  • Brings bank deposits to bank
  • Works check-out desk at various fund raising events as needed
  • Backs up the Director of Accounting with respect to posting of cash receipts
  • Performs other clerical functions as needed

ESSENTIAL FUNCTIONS/PHYSICAL REQUIREMENTS:

The duties above indicate the essential functions of the job. Job requires a good deal of time sitting in one location. Job occasionally requires stooping bending; some light lifting, such as three or four reams of paper or office supplies up to 20 pounds may be required. Some local travel is required. EVENTS COORDINATOR needed to assist in the coordination of successful Events while meeting budgetary goals.

  • Assist in producing Unit level and Corporate level events, and all additional events.
  • Responsibilities include attending committee meetings, assisting with Live and Silent Auctions, staffing, training and supervising BGCBC staff and volunteers as related to event, attending and producing sub-event functions and varied delegated assignments that ensure the success of outlined events.
  • Prepare, monitor and control produced events annual revenue and expense budget.
  • Assist in obtaining sponsorships, table sales, advertisers, auction items and other revenue sources.
  • Effectively manage, train and motivate staff and volunteers on a daily basis and other BGCBC staff and volunteers during the events.
  • Manage the expenses associated with above-mentioned events.
  • Act as primary contact to the BGCBC and event Vendors.

RELATIONSHIPS:

  • Maintain close daily communication with supervisors.
  • Maintain daily communication with Accounting Department relating to financial areas.
  • Work in a positive and professional manner with all program staff while assisting with special events.
  • Maintain excellent communication with event personnel, appropriate Board members, Committee Chairs and Members, event staff, volunteers, sponsors, vendors and act as liaison where appropriate for Boys and Girls Clubs of Broward County.

QUALIFICATIONS/REQUIREMENTS
Education/Experience:

  • 4-year Degree required.
  • Minimum of two (2) years' experience in successful (meeting budgetary goals) event planning.
  • Demonstrate skills and experience in the production of financially successful special events ranging from multi-day to single-day events.
  • Demonstrate the ability to lead, train, direct and motivate volunteers and staff.
  • Demonstrate the ability to manage a budget.

Knowledge of Microsoft Office programs needed, including spreadsheets and word processing with a high degree of accuracy.

  • Exceptional customer service skills and attention to detail.
  • Ability to understand and negotiate contracts with vendors.
  • Excellent verbal and written communication skills.
  • Ability to display a positive attitude and professional demeanor at all times.  

Transportation:

  • Reliable transportation needed to attend meetings and events.


ENVIRONMENTAL AND WORKING CONDITIONS

The majority of work will be conducted in an office setting; however, major blocks of time will be away from the office and at the event venues. Various off-site meetings will occur at respective Boys & Girls Clubs or Volunteer offices. Siting, standing, lifting items and bending are necessary to the role. Good sight and hearing are essential. Successfully communicate through speaking, writing and reading with comprehension. Manage multiple tasks with varying deadlines.

Now seeking Red Cross/ American Heart certified lifeguards for swim instructors to run a safe and fun swimming program that teaches children to swim, and to assist with pre-post tests and skills teaching.

Possible part time hours will be available this spring, and up to 40 hrs a week available in the summer time.

You MUST be available between the hours of 9am and 5pm this summer. Must have current lifeguard certification, current CPR/AED training and First Aid.  WSI certification preferred.

Effective communication skills, superior interpersonal abilities including the ability to get along with diverse personalities, and display tact, maturity, and flexibility are needed for this position. Experience working with children, good reasoning abilities and sound judgment are also needed. Swim Central experience a plus. Must have own transportation.

Responsibilities include, but are not limited to:

  • Ensure safety of all swimmers and assist in classes and other activities conducted in the swimming pool.
  • Enforce all pool rules, assist with swimming classes and tests, assume responsibility in absence of Aquatics Program Supervisor; help organize games and special events in pool.
  • Observe all safety precautions at all times, including ensuring that boys and girls shower and are clean before swimming.

HEALTH & PE COORDINATOR

The primary function of the Health & PE Coordinator is to assist the Director and Program Manager in planning and facilitating the programs of the assigned Club.

Primary Responsibilities and Essential Requirements Include:

  • Play, publicize, organize, and conduct activities, tournaments, special events, etc.
  • Prepare written plans for program activities including goals, mechanics, needs, and cost projection
  • Supervise, train, and motivate staff and volunteers
  • Develop and implement new athletic programs
  • Organize all league activity

  • Conduct rules clinics for coaches and officials
  • Recruit, supervise, and train volunteers for physical departments and other areas of responsibility

  • Assume responsibility for Group Club if so assigned
