HR Coordinator

REPORTS TO: Talent, Benefits and Culture Manager

GENERAL FUNCTION: The Talent Acquisition & Retention Coordinator will be part of the HR team to support the recruiting/hiring efforts for the BGCBC operations to ensure compliance and completion of all steps in the process, including posting of positions, maintaining, and refreshing postings weekly/monthly, and assist with all recruiting, onboarding, retention, and orientation needs.

The Talent & Acquisition & Retention Coordinator will also assist with general questions about the applicant tracking system and coordinate all the hiring steps. The role will handle postings, requisitions and assist with candidate communication for special interview days and hiring events. Other human resources weekly tasks will include hiring/referral bonus payouts and assist with other general HR duties.

KEY ROLES:

Assists with the requisitions and job postings as well as supports additional recruitment and retention efforts.

 Under the direction of the Talent, Benefits and Culture Manager, posts new and replacement positions

 Process Intake forms from Club Directors

 Closes requisitions that are 30 days or older and copies and opens new requisitions to replace those.

 Posts to special job boards other job postings as needed

 Maintains the Applicant Tracking System & Onboarding and is a subject matter expert.

 Attends virtual and in-person job fairs as directed by the TBCM.

 Develop recruitment strategies using multiple hiring platforms

 Develop an on-going annual training and retention program for all staff using local and national resources.

 Develop a program to survey and solicit feedback to retain employees, conduct exit interviews as applicable

 Conduct individual outreach or small focus groups on a monthly/bi-monthly basis with Clubs and Corporate

staff, to further understand incentives to stay with the Organization, and suggestions for improvement from a culture perspective.

Coordinates the hiring process

 Reviews background reports and send to TBCM for those that have positive background records to determine if approved or not.

 Initiates the onboarding process for candidates and keeps in communication with the new hire to ensure completion on a timely basis.

 Enters data and audits new hire profile in HR software to ensure accuracy

 Runs reports from HR software to ensure that the systems integration work between the payroll and time clock system.

Applicant tracking

Runs weekly report and updates the Active, New hire and Terminations in the HR software.

 Assist with sending blast emails to candidates to help with hiring events or candidate experience; review daily to help with applicant tracking for those who were offered positions to ensure that background consent forms are updated. Runs weekly reports from different job boards for the HRD to review the effectiveness of job campaigns.

Compliance tracking

Ensures I-9s are completed within the first 3 days on the job.

 Follow up with maintaining certifications across the organization and ensure it gets uploaded into their employee documents. Run reports monthly for leadership to keep on track of certifications and expirations.

Supports other Human Resources tasks

 Uploads pertinent documents into employee's e-file. Files documents in physical files.

 Every other week prepares any hiring/referral bonus sheets for payroll.

TECHNICAL:

  • Orients Club and Admin staff as directed. May be asked to prepare staff to perform their duties in accordance with existing resources, policies and procedures;

  • Assist in coordination of ongoing education and training on a wide range of topics and issue areas. Recruits trainers from BGCBC staff and outside experts as requested.

  • Works as directed with management and staff to implement projects and activities to meet overall goals, program objectives, and resource needs.

  • Performs other duties as required.

 

QUALIFICATIONS/REQUIREMENTS:

Education/Experience:

 4-year bachelor’s degree preferred but not required, preferably in human resources management and/or business management

 1 year experience as HR Coordinator required; recruitment and experience facilitating training, preferably in a non-profit organization

 Project management or other complex project or database experience preferred.

 Strong working knowledge of ADP or other similar HRIS/ ATS platforms

 Strong computer skills - Microsoft platforms - Outlook, Teams, Office

 Very detailed oriented and organizational skills

 Excellent communication skills (written/verbal).

 Ability to multitask and use sound judgement.

 Ability and skills to problem solve

ENVIRONMENTAL AND WORKING CONDITIONS:

The majority of work will be conducted in an office setting; however, some blocks of time will be away from the office and at the event venues. Various off-site meetings will occur at respective Boys & Girls Clubs.

PHYSICAL AND MENTAL REQUIREMENTS:

High energy level required. Must be comfortable performing multi-faceted projects in conjunction with day-to-day activities; must possess superior interpersonal abilities; and the ability to get along with diverse

personalities at all times displaying tact, maturity, flexibility and professionalism. Good reasoning abilities and sound judgment are also required. Manage multiple tasks with varying deadlines.

Position requirements include:

  • Talking – constantly required to express or exchange ideas by means of the spoken word

  • Hearing – frequently required to work in a loud environment (primarily events)

  • Sight – position requires both close and distance visual acuity for computer work and monitoring volunteers

  • Bending – occasionally required to bend (picking items up off of the floor, assisting in set-up and break down of events)

  • Fingering – occasionally required to type for extended periods of time (answering emails, writing reports, creating program documents, etc.)

  • Lifting – occasionally required to lift/move items up to 25 pounds.

  • Skills essential for successful communication include speaking and writing.

  • Worker will be subject to both inside and outside environmental conditions.
